Orange Dynamite Software (“we”, “us”, “our”) values the protection of your personal data. This Privacy Policy explains what data we collect through our website www.calculateinword.com and our Word add-in “Calculate in Word” (including when installed via Microsoft Marketplace / AppSource), why we collect it, who we share it with, and what rights you have. This Policy is drafted in accordance with the General Data Protection Regulation (GDPR).

 

1. Who is responsible for your data

Orange Dynamite Software is the data controller for the personal data processed through the website and the Word add-in Calculate in Word.

2. What data we collect

We only collect data that is necessary to operate our website and add-in, manage your account, and improve our services.

2.1 Account data

When you create an account for Calculate in Word, we process:

• Microsoft UserID
• Microsoft TenantID
• If provided Name and Emailadres

2.3 Payment data

Payments are processed through our payment provider Paddle. We do not ourselves receive card or bank details; these are processed directly by Paddle (see section 4).

2.4 Data via Microsoft Marketplace

If you install or purchase Calculate in Word through Microsoft Marketplace, Microsoft acts as an independent data controller for the account, licensing, and transaction data it collects as part of that marketplace (for example your Microsoft account details and purchase information). Microsoft’s own privacy statement applies to that processing, in addition to this Privacy Policy.

2.5 Add-in Usage Data

We do not collect any usage data regarding the Add-in, nor do we collect any user document data. All document data is processed strictly in-memory and is never stored on disk or in cache.

3. Why we process your data (purposes and legal basis)

Performance of a contract — to create your account, operate the add-in, and provide access to paid features.

Legitimate interest — to secure our website and add-in, resolve technical issues.

Consent — for non-essential cookies and for marketing communications via HubSpot (see sections 4 and 7).

Legal obligation — for example to comply with tax and accounting obligations relating to invoicing.

4. Sharing data with third parties

We only share personal data with carefully selected third parties that support us in delivering our service. Where required, a data processing agreement is in place with each of these parties.

Google Analytics	Analysis of website visits (visitor numbers, usage patterns). Google may process data outside the EU; this is covered by the EU Standard Contractual Clauses (SCCs) and/or the EU-US Data Privacy Framework.
Paddle	Processing of payments, invoicing, and subscription management. Paddle acts as “merchant of record” and processes your payment and billing data for this purpose.
HubSpot	Management of customer communication, CRM, and (where you have given consent) marketing and newsletter emails.
Microsoft Azure	Hosting and storage of data (see section 5).
Microsoft Marketplace	Distribution, licensing, and purchase of the add-in when installed through Microsoft’s marketplace. Microsoft processes certain account and transaction data as an independent controller (see section 2.4).

We never sell your personal data to third parties.

5. Data storage and security

Your data is stored on Microsoft Azure servers in the West Europe region. This means your data remains within the European Economic Area (EEA), except as described above for specific third parties (such as Google Analytics, HubSpot, and Microsoft Marketplace).

We take appropriate technical and organisational measures to protect your data against loss, misuse, and unauthorised access, including secure connections (HTTPS/TLS).

6. Retention period

We retain your personal data for as long as your account is active. Once you delete your account, we also delete your personal data from our systems, unless we are legally required to retain certain data for longer (for example, invoicing data in connection with the statutory 7-year tax retention obligation).

7. Cookies

Our website uses cookies:

• Functional/necessary cookies — required for the website to work properly. No consent is required for these.
• Analytical cookies (Google Analytics) — to understand how visitors use our website. Where legally required, we ask for your consent for these.

You can adjust your cookie preferences at any time via your browser settings or via the cookie banner on our website.

8. Your rights

Under the GDPR, you have the following rights regarding your personal data:

• Right of access to the data we process about you
• Right to rectification of inaccurate or incomplete data
• Right to erasure (“right to be forgotten”)
• Right to restriction of processing
• Right to object to processing
• Right to data portability
• Right to withdraw consent at any time

You can exercise these rights by emailing contact@calculateinword.com. We will respond within the statutory period of one month.

You also have the right to lodge a complaint with a data protection supervisory authority, such as the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl, or the supervisory authority in your own country.

9. Business customers

If you use Calculate in Word on behalf of a company or organisation and process personal data of your own customers or employees through the add-in, your organisation may act as data controller with Orange Dynamite Software as processor. In that case, we can provide a Data Processing Agreement (DPA) upon request. Please contact us at contact@calculateinword.com.

10. Changes to this Privacy Policy

We may update this Privacy Policy from time to time, for example in response to changes in our services or applicable law. The most current version is always available at www.calculateinword.com. In case of significant changes, we will inform you by email or via a notice in the add-in.
